Important Notes for Arts in Education and Exploratory Enrichment Users

Non-Contract Work

All AIE/EE requests for the remainder of the 2025-2026 school year that do NOT require a
contract must be received by April 1, 2026, due to our cut off date for Purchase Orders.

 

Contract Work

The deadline for contract work this year is March 13, 2026. When planning
any request that requires a contract, please keep the following in mind:

  • All required paperwork must be submitted to our department by the deadlines listed in red belowNOT the date of the board meeting itself.
  • Paperwork received after the deadline will not be able to be placed on the current board agenda and will be held for the next available meeting date.
  • No event or activity should be scheduled or confirmed or services commenced in your district until board approval has been obtained.
  • Submitting within the given timeframe isn’t a guarantee that contracts will make it onto the board report in time, as it also depends on the turnaround time to get them signed by the contracted individuals.

Reminders for both Contract and Non-Contract work 

  • If you are unsure whether a request falls under these CoSers or have questions about what paperwork is required, please do not hesitate to reach out to us — we are happy to help.
  • Use the appropriate Arts in Education (AIE) or Exploratory Enrichment (EE) forms for your request. 
  • We expect that you have made arrangements with the presenter or location. 
  • Never pay the artist directly. BOCES addresses contracting and payment on behalf of our member schools. Once the request forms are received, a purchase order will be issued. We can NOT reimburse you if you pay ahead. 
  • Transportation costs are not aidable under the Arts in Education CoSer.
  • WE CANNOT ISSUE A PURCHASE ORDER FOR A BOOKING THAT HAS ALREADY TAKEN PLACE.

ARTS IN EDUCATION

The Arts in Education service provides support to school districts wishing to extend their regular curriculum offerings with in-school performances, artist workshops, author visits, and mini-residencies. Coordination, hiring, and scheduling are based upon district recommendations and allow for integration of the arts across curricular areas. Appropriate programs for grades K-12 are available. Tickets for off-site experiences in the arts can also be purchased through this service. Cost of food, lodging, and transportation are not covered or aidable.

Roster of Artists:  A comprehensive list of artists, authors, storytellers, agencies, motivational speakers, museums, and non-arts presenters who are available to present programs for your students. This is a non-juried list and you are not limited to selecting an individual from this list. If you find another artist and would like more information, we are happy to assist you. We welcome new artists and appreciate the opportunity to learn about them.

In-School Reservation Form:  Use this form to bring artists into your district.

Ticket Reservation Form:  Use this form to arrange to purchase tickets to performances outside of your district.

Student Music Festival Request Form:  For use with NYSSMA, All County, Solo/Ensemble, and similar registrations.

Teacher Conference Registration:  For registration fees for teacher professional development.   

EXPLORATORY ENRICHMENT

Exploratory Enrichment is available to participating districts as a stand-alone service, providing opportunities for PreK-12 students to participate in curriculum-based programs (excluding the arts). These opportunities may include on-site visits (e.g., a museum) or in-building activities (e.g., environmental speaker comes to the classroom). Please note that activities may NOT be scheduled for weekends.

Aidable fees covered are limited to site-based fees determined by the number of students and institutional practice or arrangements for consultant/presenter fees. Cost of food, lodging, and transportation are not covered or aidable. Districts may not put a per-person ticket price on the event reservation form. (Admission tickets are not aidable.)

Exploratory Enrichment Roster:  This is a comprehensive listing of exhibits, motivational speakers, museums, and non-arts presenters who are available to present programs for your students. This is a non-juried list and you are not limited to selecting an individual from this list. If you find another program and would like more information, we are happy to assist you.

Exploratory Enrichment Request Form:  Use this form to arrange an on-site visit.

In-School Events or Speaker Reservation Form:  Use this form to bring an event or speaker into your district.
